- To Process SEAI Grant Applications: To track grant application status, Letter of Offer details, and grant amounts in order to coordinate service delivery and calculate payment portions.
- To Communicate with You: To respond to inquiries, send service updates, appointment confirmations, invoices, and important notices via email, WhatsApp, and push notifications.
- For Marketing and Promotions: To send newsletters, promotional materials, and information about services or special offers (you can opt out at any time).
- To Improve Our Website and Services: To analyse website usage, understand user preferences, and enhance your experience.
- For Legal and Compliance Purposes: To comply with legal obligations, enforce our Terms and Conditions, and protect our rights and property.
3. Payment Data
- All online payments are processed securely by Stripe, a PCI DSS Level 1 certified payment processor.
- We do not store your credit/debit card details on our servers. We retain only transaction reference numbers, payment amounts, and payment status for our records.
- Bank transfer details (BOI/AIB) are provided directly on invoices and are not stored in association with your personal data beyond what is necessary for payment reconciliation.
4. Communications
4.1 WhatsApp
We use the WhatsApp Business API to communicate with Clients regarding service updates, appointment confirmations, and customer support. Messages sent and received via WhatsApp may be stored for record-keeping and service improvement purposes. WhatsApp's own privacy policy applies to data processed by WhatsApp/Meta.
4.2 Push Notifications
With your consent, we may send browser push notifications for service updates, appointment reminders, and promotional messages. You can manage or revoke push notification permissions at any time through your browser settings.
4.3 Email
We use email for quotes, invoices, service confirmations, and marketing communications. You may unsubscribe from marketing emails at any time using the link provided in each email.

- This data is used solely to coordinate the delivery of grant-eligible services, calculate payment portions, and ensure compliance with SEAI requirements.
- We do not share your SEAI grant data with third parties except as required for the completion of grant-related works or as required by law.
7. Client Portal
If you create an account on our client portal, we store your account information, job history, uploaded documents, invoices, and service records. This data is accessible only to you and authorised MAL Property Maintenance personnel. You may request deletion of your account and associated data at any time (see Section 9).
8. Disclosure of Your Information
We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties without your consent, except in the following circumstances:
- Service Providers: We may share your information with trusted third-party service providers (e.g., Stripe for payments, WhatsApp/Meta for communications) who assist us in operating our business. These parties are contractually obligated to keep your information confidential.

- Service records: 6 years from the completion of services (for warranty and legal purposes).
- Marketing consent: Until withdrawn by the individual.
- Website analytics data: Anonymised and retained for up to 26 months.
- Client portal account data: Retained while the account is active and for 6 years following account closure.
When data is no longer needed, it is securely deleted or anonymised.
